Overview

This Privacy Policy describes how Chase Aaron Real Estate (“we,” “us,” or “our”) collects, uses, and protects information from (1) visitors to our website and social media properties, (2) prospective clients who submit inquiries through advertising, lead forms, or contact channels, and (3) our internal social media management application used to publish marketing content.

By submitting information to us or using our services, you agree to this policy.

1. Information We Collect from Visitors and Prospective Clients

When you submit a lead form (including Meta/Facebook Lead Ads, Instagram Lead Ads, website contact forms), call, text, or email us, we may collect:

  • Name, email address, phone number
  • Property preferences (price range, location, timing, financing status)
  • Messages or inquiries you send us
  • IP address, device type, browser, and pages visited (via website analytics)
  • Information you authorize us to receive from Meta/Facebook, Instagram, Google, or other platforms when you engage with our ads

2. How We Use This Information

We use the information we collect to:

  • Respond to your inquiry and provide real estate brokerage services
  • Send you property information, market updates, and listings matching your stated criteria
  • Communicate with you by phone, text, or email about your inquiry and ongoing transactions
  • Improve our website, marketing, and services
  • Comply with legal, regulatory, and fair housing obligations

3. Communications Consent (TCPA / CAN-SPAM)

By submitting your contact information through any of our forms or advertising, you expressly consent to receive calls, text messages, and emails from Chase Aaron Real Estate about properties and services matching your stated interests, including via automated or pre-recorded technology where permitted.

  • Texts: Reply STOP to any message to opt out. Message and data rates may apply.
  • Email: Click the unsubscribe link in any marketing email.
  • Calls: Tell us during any call that you wish to be removed from our calling list.

Consent to receive marketing communications is not a condition of any purchase or service.

4. How We Share Information

We share information only as follows:

  • Service providers that operate our business under written confidentiality obligations (CRM and email/SMS automation platforms, website hosting, analytics providers, transaction management software).
  • Lenders, title companies, inspectors, and other transaction parties — only with your express direction during an active transaction.
  • Legal/regulatory authorities — when required by law, subpoena, or to comply with real estate licensing obligations in Florida and North Carolina.
  • Meta Platforms, Inc. — when you submit information through a Meta/Instagram Lead Ad, that information is processed by Meta and transmitted to us in accordance with Meta’s own privacy policy.

We do not sell your personal information.

5. Data Retention

We retain inquiry and lead data for up to 24 months from your last interaction with us, unless you become an active client (in which case transaction records are retained for the period required by Florida and North Carolina real estate licensing law — typically 5 years from the close of transaction). You may request earlier deletion at any time (see Section 7).

6. Data Storage and Security

Lead and client data is stored in access-restricted CRM and email systems with industry-standard encryption in transit and at rest. API access tokens for our internal social media management application are stored locally on secure business systems, not in shared repositories or public cloud locations. Access is restricted to authorized personnel of Chase Aaron Real Estate.

No system is perfectly secure. We cannot guarantee absolute security but take reasonable measures to protect your information.

7. Your Rights

Depending on where you live, you may have the following rights regarding your personal information:

  • Access — request a copy of the personal information we hold about you
  • Correction — request that we correct inaccurate information
  • Deletion — request that we delete your personal information
  • Opt-out of marketing — at any time, by the methods in Section 3
  • Opt-out of sale/sharing — we do not sell your information; this right does not apply

Residents of California, Virginia, Colorado, Connecticut, Utah, Texas, Oregon, Montana, and other states with applicable privacy laws may have additional rights under those laws. To exercise any right, contact us using the information in Section 11. We will respond within the timeframe required by applicable law.

8. Cookies and Tracking Technologies

Our website uses cookies and similar technologies, including Meta Pixel, Google Analytics, and platform conversion-tracking pixels, to measure ad performance and improve our marketing. You can disable cookies through your browser settings. Opting out may limit functionality of certain features.

9. Children’s Privacy

Our services are not directed to children under 16. We do not knowingly collect personal information from anyone under 16. If you believe we have collected such information, contact us and we will delete it.

10. Internal Social Media Management Application

We operate an internal application that authenticates to our own Facebook Page, Instagram Business account, LinkedIn Company Page, Google Business Profile, and X account solely to publish our own marketing content and monitor the delivery of that content. This application does not collect, store, or process personal data of any third-party user. API tokens accessed by this application are stored locally on secure business systems and refreshed per each platform’s expiration policies.
